
Volunteer Registration
BE A SUMMER CAMP VOLUNTEER!
The NWTX Summer Camp program is designed and led by volunteers. Volunteers are primarily needed to work with the campers in small groups and cabin settings. Volunteers must complete an application process that includes a background check and child protection training. VOLUNTEER REGISTRATION PROCESS FOR BCC CAMP 2011
Before beginning the Volunteer Registration process, please make sure that the following information is available: contact information, both for applicant and references, form of payment i.e. credit card or voucher code. If using a voucher code of GCFA code, this must be obtained before a potential volunteer can complete registration.
In order to be a volunteer, the registrant must be:
- For grades 3-6, junior volunteers must be at least 16 years old and supervised by an adult;
- For grades 7-8, junior volunteers must be at least 17 years old, adult volunteers must be at least 18 years old and one year out of high school;
- For grades 9-12, absolutely no junior volunteers, adult volunteers must be at least 18 years old and one year out of high school.
- Volunteer ages are at time of camp.
1. It is recommended that a volunteer applicant begin this process at least 30 days before the first camp they want to attend. This includes all speakers, musicians, staff, and crew. Every volunteer must register, provide references, go through the Child Protection training, and participate in the background check every year.
2. A potential volunteer will open the registration link and begin the process by creating a username and password for a registration account. The password must qualify as “strong” to continue.
3. After an account is created, Step 1 requires the potential volunteer to fill out the registration form. Anything in blue text is required information.
4. Step 2 in the registration process requires the potential volunteer to select the camp or camps they plan to attend. This is also where payment is obtained.
5. When a potential volunteer gets to the payment part of the form they will have two choices:
a. Pay the full amount with credit card/ debit card via PayPal or with an existing PayPal account. After submitting payment via PayPal, there will be a link provided to return to the conference registration page.
Potential volunteers do not have the option to make a partial payment. They will have to arrange to be reimbursed by the church or they will have to pay the church.
b. Indicate that their church is paying the registration fee.
In order to indicate payment through their church, the registrant must enter the church’s GCFA number. This number should be acquired from the pastor, secretary or treasurer.
If using the GCFA number, the registrant will have to put a tick in the box indicating that the church pastor or treasurer has agreed to this payment. If not, the registrant will be held responsible for the payment.
If paying by church, an invoice will be sent out within 24 hours and the church will have 10 days to send in the payment or make arrangement for payment.
If payment is being made through a different organization or individual, a code will be provided for that situation.
6. After payment information has been entered, Step 3 will consist of requesting a reference from a professional source that is not related to the applicant. A teacher, pastor or youth leader are examples of professionals. Step 4 and 5 are also reference request. All in all, there should be two professional reference provided and on personal.
7. Step 6 is a background check authorization form. You will need to type in the word YES in order for the authorization form to be approved. All volunteers are required to pass a background check in order to participate in a camp. The results of the background check are completed within 48 hours with the results being distributed to the appropriate persons. We cannot accept results from a background search conducted for a different work or volunteer opportunity. If a background check clearly disqualifies a candidate, they will be informed by email. If there are items in the background check that are not immediate disqualifiers but raise concern, the status of the applicant will be reviewed by a team made up of the conference camping executive team and the conference staff person for camping.
8. Child Protection Training will be sent as a link to your email from Amanda Fessler. Once you click the link, you will be asked to enter your first name, last name and email address. After entering this information, you will be sent an invite to training from Smart-Trak Training Program. Please create and account and profile in the smart-trak system. A grade of 70% must be obtained to pass the Child Protection Training. After completion, print your certificate and bring to camp.
9. All certification must be completed by the Wednesday before camp begins. A final list of confirmed volunteers and their status will be regularly emailed to the volunteer camp director. This allows time for the director to follow up with anyone still outstanding.
10. All volunteers attending camp must have satisfactorily completed all steps in the process before going to camp. Any director who allows an uncertified volunteer to participate in anyway at the camp will not be invited back to direct camp the following year. Allowing uncertified personnel to interact with campers creates a potentially unsafe camp and opens the camps and conferences to and legal liabilities.
